Visitor Management System Integration

Reception is where most access control policies quietly stop applying. Everyone in the building has been through enrolment, background checks and credential issue. The visitor signs a paper book, gets a lanyard from a drawer, and walks through the same doors.

Evolution integrates visitor management into the wider security estate so that a visitor is a controlled identity with defined access, a defined duration and an audit trail, rather than a name in a book.

Our Integrated Visitor Management Solutions

Visitor management platform selection and deployment across single and multi-site estates

Integration with access control, so visitor credentials carry real permissions with real expiry

Pre-registration and host notification workflows

Contractor management: induction records, competency and insurance verification, permit-to-work linkage

Evacuation roll-call, so the fire marshal’s list includes visitors and contractors

Integration with video surveillance for identity verification at issue

Multi-tenancy configuration for managed and shared buildings

Visitor data retention and deletion aligned to UK GDPR obligations

Mobile credential issue for pre-registered visitors, where the access control platform supports it

The Fire Safety Case for Integrated Visitor Management

The security argument for visitor management is straightforward. The one that tends to move a decision is fire safety.

If your evacuation roll-call is drawn from the access control system, and visitors are not in the access control system, then your roll-call is wrong every time you use it. In a real evacuation, the marshal is counting a list that never included the four contractors working on the third floor.

Integrating visitor management with access control and with muster reporting fixes this. It is also the point at which visitor management stops being a reception convenience and becomes a life safety control.

Contractor Access Management

Contractors are the harder problem

Visitors are usually escorted and brief. Contractors are unescorted, on site for weeks, working in plant rooms and risers, and frequently the group with the least verified identity and the most physical access.

We design contractor management to close that gap: verified identity at first attendance, induction recorded and time-limited, insurance and competency documents held against the individual rather than the company, permissions scoped to the area of work and the period of the contract, and automatic expiry rather than manual revocation.

Visitor Data And UK GDPR Compliance

A visitor management system collects personal data, sometimes including photographs, vehicle registrations and health declarations, about people who have no employment relationship with you and limited ability to object.

That places clear obligations. A lawful basis and a defined purpose. Retention that is justified rather than indefinite. Deletion that happens. Transparency about what is collected and why, at the point of collection. And, where the system uses facial recognition or other biometric identification, a considerably higher bar, including a Data Protection Impact Assessment and careful consideration of whether the processing is proportionate at all.

We configure retention and deletion technically, not as a policy that relies on someone remembering.

Visitor Management Technology We Work With

Visitor management only works when it is connected to everything else. We deploy Sharry Visitor Management, smartspaces and SwiftConnect, integrated with the access control platforms we support: LenelS2 OnGuard, Software House C•CURE 9000, Gallagher Command Centre, Genetec Security Center and AMAG.

For cloud-first estates, Brivo and Genea provide visitor workflows within the access control platform itself, which removes an integration point rather than adding one.

Visitor Management In Practice

Premier new Dublin headquarters, ten storeys

A new Dublin headquarters building needed access control, video surveillance, visitor management, lift destination control and car park management to operate as one platform rather than five, across a landmark ten-storey building.

The visitor requirement was the demanding part. A business of this profile has a constant flow of clients, visitors and contractors arriving at a lobby that also has to feel like the front of the building rather than a security checkpoint.

Evolution deployed Lenel OnGuard as the access control platform, with Boon Edam speed-lane turnstiles handling flow through the lobby. Sharry Visitor Management was integrated with QR code readers, so pre-registered visitors arrive with a credential already issued rather than queuing to be processed. The Sharry smart building application with Apple Wallet mobile credentials covers staff access, and HID credential technology secures the estate throughout. Milestone XProtect with Axis cameras provides surveillance across all ten floors. Schindler destination control manages lift flow and ANPR integration handles the car park.

The project team’s assessment was that the result went beyond conventional access control and CCTV: staff enter on their phones, the lift integration cuts wait times, and ANPR removes parking friction.

FAQs About Visitor Management Systems

Connecting the visitor management platform to the systems that need its data. Most commonly access control, so visitor credentials carry real, time-limited permissions; evacuation roll-call, so visitors appear on the muster list; and video surveillance, for identity verification at the point of issue.

Because otherwise the visitor badge is decorative. Integration means the credential opens only the doors relevant to the visit, expires automatically at the end of it, and generates the same audit trail as any other movement through the building.

It is often the missing piece. Roll-call drawn only from access control excludes anyone not enrolled in it, which usually means every visitor and contractor on site. Integrating visitor records into muster reporting produces a list that reflects who is in the building.

Only as long as your documented purpose requires. Retention should be defined, justified and technically enforced. Indefinite retention of visitor sign-in data, including in legacy paper books stored in a cupboard, is a common and avoidable compliance gap.

Yes, where the access control platform supports it. Pre-registered visitors can receive a credential to their phone ahead of arrival, valid only for the window of the visit, which removes badge stock handling at reception entirely.

Yes, and it is one of the more common requirements we handle. Configuration needs to separate tenant visitor data appropriately while giving building management the estate-wide picture it needs for evacuation and incident response.
